The Wentworth Estate is a 1920s-founded estate of homes and woodlands across 2.7 square miles located in Virginia Water, Surrey, England. Steeped in history, the Wentworth Estate has become one of Europe’s premier residential areas around the venue of the first Ryder Cup, Wentworth Club.

Founded over 50 years ago, the Wentworth Residents Association (WRA) represents the interests of the residents and owners of the land and properties within the Wentworth Estate.

What they needed

The WRA called an Extraordinary General Meeting (EGM) so that a number of resolutions relating to the performance of the Wentworth Estate Roads Committee (WERC) could be agreed.

Due to the COVID-19 pandemic prohibiting large in-person meetings, the EGM could not be held in person; therefore, in order to allow all WRA members to participate, the meeting was hosted online, with an online voting solution required for members to vote on key issues impacting the Estate.

The solution

The WRA’s EGM took place via a Zoom Webinar video conference, with voting supported by the Mi-Voice online voting platform.

The WRA managed the meeting process themselves, with Mi-Voice providing a managed voting service. Voting instructions were communicated in advance of the meeting by email as well as by post for members preferring communication via post. Voting opened during the meeting and remained open for a further 48 hrs to maximise participation.

The results

This EGM was the first virtual event the WRA had hosted and the participation was similar to a normal AGM. Mi-Voice provided support throughout the process to ensure the WRA’s requirements were met quickly and provided support to resolve any issues that arose. The meeting ran smoothly with all members able to participate in voting safely from the comfort of their homes by using our secure and anonymous online voting platform. Turnout was good with over 110 households participating in voting matters.
